2. Data we collect
We only collect what a specific verification requires, and only after the candidate has given explicit written consent. Depending on the checks commissioned, that may include:
- Identity details — name, date of birth, gender, government ID numbers
- Contact details — address history, phone number, email address
- Employment history — employers, designations, dates, salary where disclosed
- Education records — institutions, qualifications, enrolment and completion dates
- Public records — court, criminal, regulatory and sanctions database results
- Financial records — credit history or default records, where the role requires it
3. Legal basis and consent
Every verification begins with the candidate’s explicit, informed and written consent, as required by the Digital Personal Data Protection Act, 2023. Consent states which checks will be run and for what purpose. A candidate may withdraw consent at any time, and we will stop processing on receipt of that request.
4. How we use the data
Personal data is used solely to complete the verification requested by the employer, to produce the resulting report, and to meet our own legal and regulatory obligations. We do not sell personal data, and we do not use it for advertising or profiling.
5. Sharing and disclosure
- With the employer who commissioned the check, in the form of a verification report
- With verification sources — universities, previous employers, government databases
- With processors under contract who are bound to equivalent confidentiality terms
- With a competent authority where disclosure is legally required
6. Security
Data at rest is encrypted with AES-256 and data in transit with TLS 1.3. Access is restricted on a need-to-know basis, logged, and reviewed. Our controls are aligned with ISO 27001 and SOC 2 Type II practices.
7. Retention
Verification data is retained only as long as is necessary for the purpose it was collected for and for the statutory retention period that applies to it. After that it is securely deleted or irreversibly anonymised.
8. Your rights
Under the DPDP Act 2023, a data principal may exercise the following rights:
- Right to access the personal data we hold about you
- Right to correction of inaccurate or incomplete data
- Right to erasure of data no longer required for the stated purpose
- Right to withdraw consent at any time
- Right to nominate another person to exercise these rights on your behalf
- Right to grievance redressal
9. Grievance redressal
Write to info@integritycheckservices.com with the subject line “Data Grievance”. We acknowledge grievances within 48 hours and aim to resolve them within 30 days.
10. Cookies and analytics
This website uses Google Analytics 4 to understand aggregate traffic patterns. Analytics cookies record page views and referral sources; they are not used to identify individual candidates. You can block them through your browser settings without losing access to any part of the site.
11. Changes to this policy
We may update this policy as our practices or the law change. The revision date at the top of the page always reflects the current version.
